How to Register for Summer 2025

Registration opens on January 20, 2025, at 3:00 pm! Our online registration is easy and convenient. All new Summertimes families will have to create an account for their child. This can be done prior to January 20 by clicking the “Register/Login” button at the top of this page. If you are a current SSSAS family, you are able to login using your mySSSAS login information. After completing your registration and/or making any changes, you will receive an email confirmation showing all activity on your account.

Please note that all campers are required to have a current immunization record on file by June 1 in order to attend camp. See the “Required Medical Forms” section below for more information on how to submit these records.

Please note that registration closes Friday at 12:00 p.m. before the next week’s camp session.

Required Medical Forms

Current SSSAS families registering for a camp or class will need to complete and upload any necessary contact and health information in the Summertimes registration portal. Unfortunately, health information cannot automatically be transferred from Magnus. However, you can easily download your forms from Magnus and then upload them to the Summertimes registration site.

For All Campers

We require that all campers have a current immunization record on file. These records must be uploaded into your account in the online registration system no later than June 1. We will accept Part II of the Virginia Health Form or any other standard immunization records provided by your medical provider.

For International Campers

All international campers must have a TB risk assessment form (TB512) completed by a healthcare professional. Please complete the following form for your international camper/student and upload them to you account in the online registration system no later than June 1. This form is also available on our registration system:

A TB skin test also must be submitted if one is required by the completed TB risk assessment. A TB skin test can be done here in Alexandria, VA, at the Health Department the week before camp starts. You can find information related to TB skin test scheduling on the Alexandria Health Department website.

For Campers with Special Medical Needs and Allergies

We ask that parents and guardians notify the Summertimes Office (703-212-2777, or summerprograms@sssas.org) at the time of registration if their child has any special medical conditions or learning differences. This information will help us ensure that we are able to provide any necessary accommodations or support to make your child’s camp experience, and the experience of fellow campers, safe and enjoyable.

We require additional medical information and consent if your child has life-threatening allergies, asthma, or requires medication during camp. Please complete the following forms if necessary and upload them to you account in the online registration system no later than June 1. These forms are also available on our registration system:

Payments

At the time of registration, a $100 non-refundable deposit is due for each Summertimes program, in addition to a non-refundable $25 administrative fee per camper/student. This administrative fee covers transactional costs that Summertimes incurs related to credit card processing fees and refund issuance. Balances for all programs are due and automatically charged on May 15. If a balance is not paid in full by May 15, Summertimes will charge the credit card on file at that time unless a parent or guardian has requested and been approved for an alternate payment plan with the Summer Programs Office. If you are registering after May 15, the payment is due in full at the time of registration. Unpaid balances may result in cancellation of registration in any and/or all camp sessions in which your camper is registered.

If you decide to pay your balance due earlier than May 15, please contact the Summer Programs Office for assistance. At any time, you can log into your registration account to view your balance due or your invoice. Payments can be made online with a VISA®, MasterCard®,American Express®, or Discover® credit card, or you may pay by check. Checks should be made payable to “St. Stephen’s and St. Agnes School” and mailed to:

The returned check fee is $75.

Refunds and Schedule Change Requests

At the time of registration, a $100.00 non-refundable deposit for each camp session is due. Your account will also be charged a non-refundable $25.00 administrative fee per camper. You may cancel your registration and receive a refund of any amounts paid in excess of the non-refundable deposit(s) and non-refundable $25.00 administrative fee if you notify the Summer Programs Office no later than May 14. Beginning May 15, all registration fees are non-refundable. Summertimes does not allow make-up days or prorate for any absence from a program, including illness, dismissal, or other separation from the Summertimes program.

Upon request by a parent or guardian, Summertimes may allow a camper to switch to a different program session in its discretion and depending on availability. If the program to which the camper switches has a higher registration fee, the parent or guardian is responsible for the payment of this difference.

Summertimes may cancel a program at its discretion for any reason, including insufficient enrollment. Summertimes will do its best to provide registered families with as much notice as possible of any such cancellation. If a program is cancelled, families will be notified and a full refund, including the deposit, will be provided. If the cancelled program was the only Summertimes program for which a family was registered, we will also refund the $25 administrative fee. If a camp must be cancelled mid-session, we will issue registered families a prorated refund.
